General Terms and Conditions and Privacy Policy for ExpatMeet Events (Updated February 2025)

1. Acceptance of Terms
1.1 By registering for an ExpatMeet event, you agree to be bound by these Terms and our Privacy Policy.
1.2 If you disagree with these Terms or Privacy Policy, you must not register for or attend our events.
2. Event Participation and Liability
2.1 You acknowledge that participation in ExpatMeet events involves inherent risks including emotional distress, physical injury, property damage, or interactions with other participants.
2.2 You voluntarily assume all risks associated with participation in ExpatMeet events.
2.3 You release ExpatMeet, its affiliates, employees, volunteers, and agents from any liability for losses, damages, injuries, or claims. 2.4 ExpatMeet is not liable for incidents occurring at venue locations, as venue owners/operators are solely responsible for premises safety. 2.5 ExpatMeet is not responsible for loss or damage of personal belongings at events.
2.6 You agree to treat all participants, staff, and venue personnel with respect and courtesy.
2.7 Disruptive, offensive, or inappropriate behavior will result in removal without refund.
2.8 You must comply with stated age restrictions for events.
2.9 ExpatMeet reserves the right to change venue, date, time, program, or other event details.
2.10 ExpatMeet reserves the right to deny entry to anyone without explanation.
3. Media and Social Media Policy
3.1 ExpatMeet photographs and records all events for promotional purposes.
3.2 All event content will be shared on ExpatMeet's social media platforms and marketing materials.
3.3 Participation automatically grants permission for use of your image, voice, and likeness.
3.4 ExpatMeet retains full rights to use, edit, and distribute content without additional consent or compensation.
3.5 To opt out of media content, you must email expatmeet@gmail.com 48 hours before the event.
3.6 Opted-out participants must identify themselves to organizers and avoid photo areas.
3.7 Entry may be denied if media restrictions cannot be accommodated.

4. Registration and Payment
4.1 Online registration and full payment are required to secure event participation.
4.2 Confirmation emails will be sent within 7 days of the event.
4.3 ExpatMeet may cancel events if minimum attendance is not reached, with refunds provided.
5. Cancellation and Refunds
5.1 Cancellations must be emailed at least 7 days before event date. Following such cancellations, participants will receive a refund after deduction of necessary processing fees.
5.2 Cancellations within 7 days of event are non-refundable.
5.3 If ExpatMeet cancels, participants may re-enroll or receive a refund. All refunds will be processed after the deduction of applicable transaction and service fees.
6. Website and Technology
6.1 ExpatMeet is not responsible for website security breaches or technical difficulties.
6.2 Users are responsible for protecting their own devices and data.
7. Pricing
7.1 ExpatMeet reserves the right to modify event prices.
7.2 Price changes will be communicated before events.
8. Privacy Policy
8.1 Personal information will not be shared without explicit consent except as required by law.
8.2 Our Privacy Policy details how we collect, use, and protect your information.
9. Event Disclaimer
9.1 ExpatMeet does not guarantee compatibility or intentions of participants.
9.2 Participants are responsible for their own safety and judgment when interacting.
9.3 ExpatMeet does not guarantee satisfaction of individual expectations.
10. Legal Framework
10.1 These Terms are governed by Belgian law or the jurisdiction where the event is held.
10.2 Any disputes will be resolved under applicable Belgian law.
